This risk can be managed. Here are 2 ways to manage that risk: 

Firstly, maintain communication with your ERP Software vendor at all times. Murphy (2021) found ERP Projects encounter challenges when there is a breakdown in communication between vendor and client.  

 

How do you communicate properly with your vendor? 

Your team need to delineate your workflows and scope requirements. Be clear and direct about how you operate, this will allow the vendor to determine how the system would work for you.

Lack of communication on your workflows will cause bottlenecks during the implementation.

You will find a scoping framework. This has been designed to allow your team to gather the right information, For example, businesses we work with convert weight into lengths. It is important to have this information on hand so you know how the new ERP system would handle the conversion process and reduce the need for manual work. 

It is both the vendors and your own responsibility to lay this out in your initial conversations.  

Secondly, outline how the ERP Software implementation will be managed.

In the professional Services Pack, our consultants will be on hand to manage your transition & ERP Software implementation.

Training will take place over 4 days. These 4 days are split into 8 half-day chunks. 

Splitting training into half days allows you to meet your customers’ demands, whilst learning your new ERP Software.

Secondly, only some team members will be required for specific training sessions. ERP Software encompasses every department of your operation, it would be unnecessary for your sales team & warehouse ops to attend training sessions on banking/accounting.

Data Migration

This stage is handled by us, we will require access to your original accounting package. Data migration is the moving of historical data from your current Accounting system to your new ERP system. 

Data migration can be misunderstood. Businesses believe that you cannot retrieve your data from your old system, or if you did, it would have to be manually keyed into the new system. Others believe the data is at risk. 

This is not the case with Interprise Suite.  

Firstly, Interprise Suite has an Import Wizard whereby information can be imported on mass. This is a procedure we have done countless times and much in the same way your team imports items and price lists into your original accounting software, we would import it into Interprise.

If you are using products such as Sage 200, Sage 50, Quickbooks, Xero TasBooks – we are well versed in extracting data from these systems and importing to Interprise. We have created drivers which perform the extraction and conversion process so that this information can seamlessly put into Interprise Suite

One of our consultants will handle the data import for you. This ensures that when it comes to your Go Live day, the system will have the accurate data to begin using it from then on.

Consultancy

Consultancy revolves around going through your operational workflows and procedures. Once Apex has this information, our consultants mould Interprise Suite to best suit those workflows. 

Interprise Suite is built with Plug-In Architecture. What does that mean?

It means our Consultant’s can optimise Interprise Suite to automate previously manual processes or make workflows more efficient. 

For example. Cleaning Supplies & Packaging Supplies businesses we work with require customer sales order history whilst creating  Sales Orders. 

Instead of having to go onto the customer account, we created a tab within the sales order form for sales people to see a customers order history with information such as: items purchased, quantities, prices paid and last purchase date. 

This plug-in short cut the workflow for finding sales order history information, allowing them to raise revenue by providing sales people with the ammunition to ask the right questions. 

Our consultancy sessions are available to your team within the Professional Services Package. Any customers which have taken the Interprise University Route will be required to purchase these additionally.
